User Types

Learn the difference between finance and business user and how this impacts you.

Business User, Finance User, and Non System Users

Each User must be assigned a User Profile with an appropriate User type. This determines their permissions in the system.

A Profile can have a User type of:

  • Business User: This User type has access to a selection of the available permissions. You can subtract permissions, but you cannot add more permissions than the Business User Type allows. 
  • Finance User: This User type has access to the complete functionality of the system. You can add or subtract permissions as desired.
  • Employee Users: This User type can only submit expenses in an entity and has no system login/profiles in any entity or at group level.
 
 

Business User Permissions

Menu Permissions

Profiles with the Business User type have permissions in the following categories:

Setup

  • Security: Change my Password, Two-Factor Authentication

Sales

  • System Reports: Sales Reports
  • Customer Accounts: Customer Listing
  • Sales Order Processing: Sales Quotes, Sales Orders, Item Deliveries

Purchases

  • System Reports: Purchase Reports
  • Supplier Accounts: Supplier Listing (Supplier only)
  • Purchase Order Processing: Purchase Orders, Receive Orders

Bank

  • System Reports: Cash and Bank Reports

General

  • Chart of Accounts: GL Account Listing
  • Balance & Transaction Enquiry: Transaction Browser, GL Explorer
  • System Reports: GL Reports

Analysis

  • System Reports: Extended Business Analysis

Reports

  • System Reports: Report Manager

Dashboards and Reports 

Business User types have access to dashboards and reports but not to the OData Connector. Dashboards and Reports are switched on by default, but you can modify permissions, as necessary.

 
 

How Does User Type Impact System Users?

Existing Users

Existing users will automatically have the same user type as their profile but this can be updated per assigned entity. 

  • Finance Users can update to any Profile in an assigned entity and their User Type will update if relevant. 
  • Business users can only have Profiles with the Business User Type.

Likewise User Role is inherited from setup but can be updated per entity.

In the example below, because the Practice Accountant profile has the Finance User Type, it is inherited across all entities by default. When the Profile in an entity is updated to one with a Business User Type, this automatically updates the User Type.

New Users

All new users must have a user profile. These user profiles must be created as either a Finance or Business User type.
