Adding Attachments and Notes to Transactions and Master Records

Attach Notes and or Images to Master Records and Transactions.

Introduction

For review purposes, you can attach multiple documents and notes to all master records and transactions.

Document Size and Format

The maximum document size is 10MB.

Accepted formats include:

  • PNG
  • JPG
  • TXT
  • DOCS
  • PPTX
  • MPP
 

Examples of attachments include:

  • Bank statements
  • Emails
  • Handwritten expenses claim forms
  • Letters
  • Original Invoices
  • Photos
  • Receipts
  • Timesheets
  • Voice mails

Attaching documents to Transactions or Master Records 

Attaching Documents

  1. To open the Document Manager, click on the attach icon for the relevant record. 
    Alternatively, open the record and click Attach Document.
  2. Go to Click to upload and either select the file or drag and drop it from your document manager.

    The files will appear automatically in the Remote Documents folder:

Adding Notes to Documents

To add comments, select the relevant document and add comments, as necessary.

Managing Attachments

  1. Open the record with the attached document. Alternatively, click on the attachment icon in the listing grid. If any documents are attached, the icon will appear with a document.
  2. The number of attached documents will appear next to the Attach Documents icon. Click to view the documents in the Document Manager.
  3. Right-click on any of the documents to open/download, upload, refresh, delete, or rename them. 
 
 

Adding Notes to Transactions

Adding Notes

Add notes to quotes, orders, and invoices from their respective listing screens. 

  1. Click on the Notes icon for the relevant transaction.
  2. In the Notes screen, click Add New Note.
  3. Complete the note and click Save.

Viewing and Editing Notes

In the relevant listing grid, hover on the icon in the Notes column. This will display the most recently added note. Click the icon to view all notes:
