Discover our new dashboard for enhanced data visualisation and analysis.

Introduction

Our new dashboards let you quickly visualise the performance of your business using the most common KPIs. When you switch to our new look navigation, you will automatically have access to dashboard reports on Sales, Purchases, and General Ledger. 

Access the dashboards via the Dashboards tab in the sidebar:
 

We currently have 13 dashboards:

  • Accounts Receivable
  • Income Analysis
  • Sales
  • Accounts Payable
  • Expenditure Analysis
  • Purchase Commitment
  • Purchases
  • Balance Sheet Overview
  • Bank
  • Financial Overview
  • Fixed Assets
  • Profit and Loss Overview
  • Working Capital Overview

Consolidation Entities will also have access to dashboards that can be filtered by Entity:

  • Consolidated Income Analysis

User Permissions

Dashboard access can be controlled via the use of user profiles. In the Maintain User Profile screen, assign and unassign access to user profiles as required. For more on managing user profiles, see Setting Up System Users.

Note: GL Category Types

Note that our dashboards drill down to GL Category and GL Sub Category level not transaction level. Therefore, for the most relevant results, your GL Code structure should meet your reporting requirements. 

Ensure that the type assigned to each GL Category is correct as this determines which report the associated accounts will appear in. You do not need to assign types to any GL Sub Category as they automatically inherit it from their assigned GL Category.

Selecting Dashboard Criteria

Let's look at using the dashboards. First select data and the charts will update. These charts can then be refined with further selection criteria.

Please note the following:

  • The first time you open a dashboard, loading time can be slower. Once a dashboard is loaded initially, future loading time will be reduced.
  • Newly posted transactions can take up to 5 minutes to be registered by the dashboards. Please refresh the dashboard to see any updates.

Using the Menu

In the dropdowns select your data. The options available will differ depending on your dashboard. For example, some dashboards such as Profit & Loss let you compare years. Some options allow for multi-selection, such as Dimensions, and others don't, such as Financial Period. 

Consolidation Entities let you select one or multiple entities as data sources:

The selected options will be highlighted in green and can be deselected by clicking again:

Dashboard reports can be run for the last 12 months. Note that Accounts Payable, Accounts Receivable, Purchase Commitment, Bank and Fixed Assets cannot be run retrospectively. They are always as of today's date.

If you use Dimensions, they will be available as search criteria. If you create new dimensions, these will become available once they have been used. These allow you to further drill into the data, for example P&L per BI Code. The example below has 5 Dimensions available as criteria:

Search Tools

The contextual search lets you quickly populate data, for example, all data relating to a BI Code.

Arrows let you step back and forward in your search selection.

In addition, you can quickly clear all selections.

Additional tools help you refine your data. Once you make selections in the dropdowns, these will appear in their own tab. Click on the tab to view the full list or close the tab to clear the selection:

  • Lock the search
  • Set selection conditions
  • Clear selection
  • Cancel selection
  • Confirm selection

 
 

Using the Charts

Chart Types

Most dashboards contain a series of Spark Graphs at the top, with some displaying KPIs. These give you an instant overview of your business's performance for the last 12 months and do not update according to your search criteria. Time series charts also only display data for the last 12 months.

All other charts will update based on search criteria. Note that if chart data is negative or zero, no chart will display. The other charts will vary by dashboard and include pivot tables, waterfall, bar, line, pie, donut, bubble, and scatter.

Use these charts to gain multiple views of your data and drill down with the following functionality:

Data on hover

Hover over individual bars and pie slices for extra data:

Dropdowns

Use dropdowns to select the data to display in bar and pie charts:

Graphic Drilldown

Select an individual bar, slice of a pie chart, or a subsection of a line graph and the connected charts will all update. Selection tools include a lasso selection as well as clear, cancel, and confirm selection options:

Using the lasso selection:

Alternatively, to select and zoom into a subsection, highlight the bar labels and click the Confirm Selection icon:

The selected zoomed subsection will then display:

Table Drilldown

Drill down into data tables using the GL Category and GL Sub Category:

Chart Views

Some charts have multiple views accessible via tabs: 

Zoom

Use your mousepad to zoom for details of scatter and bubble charts. Click the home icon to reset zoom:

View Data

Right click on any graphical chart and select View Data to view the data in tabular form:

Export Options

To export individual charts, right-click and select either Export as an Image or Export to PDF. As rendering images can take time, the quicker option is to Export to PDF. The container option includes the container outline border. 

Export Data exports the data listed to Excel.
