Using the new AIQ Homepage - Beta

Introduction

Price Plan Availability

The homepage will be only available to customer on AIQ2 and AIQ3 price plans. It will not be available to customers on AIQ1 or the legacy price plan.

 

About the new Homepage

AIQ's new homepage gives you an instant overview of key system metrics in a flexible tile format. Activity tiles bring your attention to actions that require direct attention, such as approval,  while Insight tiles give an overview of your bigger picture numbers. 

The tiles available to you will depend on your user type, role, and permissions and can be selected and removed as required.

Permissions 

The homepage will be available to both Finance and Business User types.

Tiles access will depend on both user role and permissions:

  • The tile will appear greyed-out if a permission is available but not selected for a user profile.
  • The tile will not appear for selection if a permission is not available, for example, the Business User will only see the tiles relating to their functions in the system.

 

 
 

Setting up the Homepage

The Home page is only available at the entity level.  If this is your first time using the system, you will immediately land on the homepage. Otherwise, you will land on your last opened page.

Selecting tiles

The homepage will initially be blank. Select tiles as follows:

  1. Click on the plus icon next to My Activity Tiles or My Insight Tiles to open the Tile Library. For descriptions of the tiles, see the ‘Tile Library’ section.
  2. The tile library is organised by module. Open the relevant module dropdown and select the required tile. It will now appear in the tile library with a green check icon and be added in the final position to either My Activity Tiles or My Insight Tiles.

Deselecting tiles

  1. Click on the pencil icon next to My Activity Tiles or My Insight Tiles.
  2. Click on the x icon for the relevant tile.

Tile Actions

  • Manual refresh: Click the manual refresh option to refresh the tile data. Tile data will also refresh when you open the homepage.
  • Hyperlinks: Click on the blue figures, for example, PO Tracker, to go directly to that listing grid.
  • Actions: On selected tiles, use the More Actions menu  to further filter the data. For example, for PO Tracker, select Due For Delivery. When you click on the hyperlink, the listing grid will open on that filter.
  • Drill-down: The Insight tiles have Drill-down capabilities for more detailed analysis.
 
 

Tile Library

The home page is divided into two sections:

My Activity Tiles

These tiles trigger specific actions, such as processing invoices, approving payments, or accessing other areas of the system. Tiles dynamically reflect pending tasks, approvals, and urgent actions. Task-driven approach to improve efficiency and streamline workflows.

AP

  • AP Inbox Traffic: Displays the number of AP Inbox traffic. Click the number to view the detailed listing grid.
  • AP Invoices awaiting approval: Displays the number of invoices awaiting approval. Use the dropdown to filter by Approved or Awaiting Approval. Click the number to view the detailed listing grid.
  • AP Invoices to be Posted: Displays the number of AP invoices to be posted. Click the number to view the detailed listing grid.
  • AP Invoices to for Payment: Displays the total amount of AP Invoices due for payment. Click the number to view the list of bulk payments or to create new payment run.
  • My Invoices: Displays the number of invoices waiting my approval. Click the number to view the detailed listing grid.
  • My PO: Displays the number of purchase orders waiting my approval. Click the number to view the detailed listing grid.
  • PO Tracker: Displays the number of purchase orders by status. Use the dropdown to filter by: Not yet Delivered (default), Due For Delivery. Click the number to view the detailed listing grid.
  • Purchase Deliveries: Displays the number of purchase deliveries to be invoiced. Click the number to view the detailed listing grid.
  • Purchase Orders: Displays the number of purchase orders awaiting approval. Use the dropdown to filter by: Approved or Awaiting Approval. Click the number to view the detailed listing grid.

AR

  • AR Accounts: Displays the number of AR invoices due for payment. Use the dropdown to filter by: Item Invoices, Batch Invoices. Click the number to view the detailed listing grid.
  • AR Invoices to be Posted: Displays the number of AR invoices to be posted. Click the number to view the detailed listing grid.
  • AR Invoices Due for Payment: Displays the total Amount for all AR invoices due for payment. Use the dropdown to filter by: Item Invoices or Batch Invoices. Click the number to view the detailed listing grid.
  • Recurring Invoices: Displays the number of recurring invoices to be generated. Click the number to view the detailed listing grid.
  • Sales Deliveries: Displays the number of sales deliveries to be invoiced. Click the number to view the detailed.
  • Sales Quotes: Displays the number of sales quotes waiting to be promoted. Click the number to view the detailed listing grid.
  • SO Tracker: Displays the number of sales orders by status. Use the dropdown to filter by: Not Yet Delivered, Due For Delivery. Click the number to view the detailed listing grid.

Bank

  • Bank Accounts: Displays the number of bank accounts. Click the number to view the detailed listing grid.

General

  • FX Revaluation: Displays the financial period of last FX revaluation journal. Click the number to open the FX Revaluation Journal wizard.
  • VAT Returns: Displays the number of VAT returns. Click the number to view the detailed listing grid.

My Insight Tiles

Provide real-time KPI dashboards and financial snapshots. Display visual trends on cash flow, revenue, expenses, and overdue payments.

AP

  • Approval Efficiency Score: Displays the score of workflow approval efficiency per workflow. Ideal for tracking how quickly and consistently approval requests are reviewed and completed.
  • Creditor Ageing: Displays creditor ageing as a visual summary. Ideal for tracking key trends or performance indicators.
  • Creditor Days: Insights tile that displays creditor days as a visual summary. Ideal for tracking key trends or performance indicators.
  • Top 5 Suppliers Overdue: Displays top 5 suppliers overdue as a visual summary. Ideal for tracking key trends or performance indicators.
  • Total Days from PO to Payment: Displays the total days from PO to payment as a visual summary. Ideal for tracking key trends or performance indicators.

AR

  • Debtor Ageing: Visual tile showing the bar chart with ageing buckets as of today.
  • Debtor Days: Visual tile showing the current debtor days compare to the same date from the previous financial period.
  • Top 5 Customers Overdue: Visual tile showing the top 5 customers with the highest value overdue. Giving insight as to the accounts to investigate/resolve.

General

  • Cash Flow Overview: Visual tile showing the current position of cash flow in and out of all your bank accounts.
  • Purchase Accruals: Displays the number of Outstanding Purchase Orders, Orders Delivered Not Invoiced and Approved Not Posted Purchase Invoices. Ideal for tracking committed spend for accruals.
